Frequently asked

How accounts, records, and access work

The core idea: your account is you, but the pool record is the pool's story — and you control who can add to it.

What's the difference between my account and a pool record?

Your account is your identity — who you are and how you log in. A pool record is the lifetime history of a specific pool, associated with a property rather than a single service company. Invoices, service tickets, chemistry reading PDFs, work orders, photos, proposals, agreements, inspection reports, and notes all live in the pool record, so the story stays with the pool even when companies change.

What is a PoolLink connection key?

A PoolLink key lets a pool owner authorize a service company to deliver records into the pool's history. The owner can unlink that company at any time and keep every record it delivered, then connect a replacement company that delivers into the same, continuous history. Company and role separation is preserved throughout.

What happens to my records if I change service companies?

Your pool history is owner-controlled and tied to the property, not the company. Unlinking a company keeps the records it already delivered. The next company you authorize delivers into the same, continuous history — your story doesn't reset every time you switch.

Can I log my own chemical readings if I don't use a service company?

Yes. DIY owners can log weekly chemical readings and track trends over time without hiring a company. Your readings build into the pool's history. Swimming Pool On Demand records and tracks your readings; it does not provide chemical dosing advice.

Do I need a computer to run my pool business?

No. The platform is built phone-first — daily work and setup run from a phone. Manage customers, products and pricing, technicians, schedules and routes, and company settings without a PC. CSV import and export are available for bulk data.

How do proposals and service agreements work?

You send a branded proposal, quote, or service agreement. A company representative initials and signs first, then the customer reviews, initials the required pages, and signs the last page — drawing or typing their initials and signature. You can track sent, delivered, viewed, and signed status. The completed signed PDF and an audit trail are saved, and the unsigned original is retained in the customer's File Cabinet. Signing an agreement can automatically generate and send the first scheduled invoice.

How do payments and billing work?

Invoices are created in the app and paid by card or ACH through Stripe. You can set up recurring monthly billing and AutoPay, and track payment status and failed payments.

What roles and company accounts are there?

Each company has its own account, separate from other companies and from pool owners. Within a company, Pool Pro and Technician roles control what each team member can see and do. A pool owner has their own owner account and a customer portal with documents, files, invoices, service history, and pool details.

What records can a pool record hold?

Invoices, service tickets, chemistry reading PDFs, work orders, photos, proposals, agreements, inspection reports, and notes — all in one place, associated with the property and pool rather than a single company.

What about smart-glasses or hands-free field entry?

Service tickets can be entered by voice/audio as a hands-free alternative. Where configured, a compatible smart-glasses workflow can capture arrival photos and dictate chemistry and checklist entries; an in-lens display depends on the hardware and setup, and audio-only use is always available.

What is the AI Pool Tech Tutor and AI pool-owner help?

AI Pool Tech Tutor gives technicians quick, prioritized diagnostic outlines when working on a clock, with manufacturer references available when supported — it doesn't guarantee every answer or model is covered and isn't a replacement for trained safety judgment. AI pool-owner help answers everyday pool questions. Neither copies long manual text into the app.

What happens to the pool history when I sell my home?

Useful pool history can be handed to the new homeowner so they aren't starting from scratch, while your private personal and billing data stays separate. The new owner receives the pool's organized story, not your financial details.
